We’ve been doing this for ten years and over 2,000 events, so we’ve seen every pricing trick in the book. Flat rates that balloon once you add prints. “Free delivery” that only applies on a Tuesday. Bonds nobody mentioned until the invoice landed.

None of that is fair on you. So here’s our honest breakdown of what actually goes into a photo booth quote, and what to ask before you sign anything.

Two things to get straight up front:

  • The cheapest quote isn’t automatically the worst value, and the most expensive one isn’t automatically the best.
  • The only way to know you’re getting a fair deal is to compare like for like. That means understanding what’s actually in the box.

What's Actually In The Package

Every operator builds their packages differently, and that’s where most of the confusion starts.

Some charge one all-in price that covers the booth, an attendant, unlimited prints, props, a digital gallery, the lot. Others hook you with a low headline number, then charge extra for prints, props, branding, or getting your photos off the booth at all.

Roughly what you’ll see across Melbourne and Victoria right now:

  • Bare bones, digital only: around $500 to $800 for 3 to 4 hours
  • Standard, prints and an attendant included: around $800 to $1,200 for 3 to 4 hours
  • Premium, think mirror booths, 360 booths, full branding: $1,200 to $2,500+ depending on the tech and what’s bundled in

 

Whatever quote you’re holding, ask two questions: what’s included, and what isn’t. If an operator can’t answer both clearly, that tells you something.

Delivery Isn't Always Free

This one catches people out constantly. Plenty of operators bake in delivery for a set radius, say 20km, and then quietly charge past that.

Stairs, tricky loading docks, remote venues, or a very late pack down can all add anywhere from $50 to $200 on top. And “free delivery” sometimes only applies to certain days or certain packages, not your booking.

Worth confirming:

  • Is delivery to your actual venue included, or does your suburb push you over a line?
  • Are setup and pack down happening inside your hire hours, or on top of them?

Feeding The Attendant

If your package comes with a live attendant (and for weddings or longer corporate events, it usually should), some operators will ask you to cover a meal for them once the hours stretch out.

It’s a small line item, but it’s one that gets left off a lot of quotes and then shows up later. Just ask upfront whether a meal is expected and what that looks like.

Deposits, Final Payments And Cancellations

Payment structure varies a lot operator to operator, so don’t assume anything.

  • Deposits usually sit somewhere between 20% and 50% to lock in your date
  • Final payment can be due anywhere from two weeks out to the day itself
  • Cancellation terms range from losing part of your deposit to losing the whole fee, depending on how close to the event you cancel

 

Before you commit, get clear answers on what’s refundable, what happens if the date moves, and whether changing your time slot costs you anything.

Bonds And Broken Props

Some booths, especially unattended ones or higher tech setups, come with a security bond. It’s there to cover damage, missing bits, or props that don’t make it back in one piece, and it’s usually refunded after the event if everything’s returned fine.

Ask what the bond covers, how it’s held, and what specifically would mean you don’t get it back.

Timing Your Booking For A Better Rate

A few ways to genuinely save money here:

  • Midweek and off peak dates are almost always cheaper than a Saturday in wedding season
  • Booking early can get you a better rate, and so can filling a last minute gap in an operator’s calendar
  • Paying in full upfront sometimes unlocks a discount, just make sure you know how much of that is refundable if your plans change

If you’re running a charity event or fundraiser, it’s always worth asking directly. A lot of operators will offer a reduced rate, or set things up so guests pay to use the booth and you come out ahead.

The Truth About Coupon Site Deals

Deal sites can look tempting, but go in with your eyes open:

  • Vouchers often come with tight restrictions on dates, times, or which package you actually get
  • Weekend dates are notoriously hard to lock in through a coupon booking
  • If a higher paying job comes in for that date, some operators will bump the discount booking

If you do go down this path, call the operator directly and confirm your actual date is available, check the cancellation terms properly, and lean toward operators who’ve been around long enough that you can trust they’ll still be trading by the time your event rolls around.

  • What’s actually included: prints, digital gallery, props, attendant, branding
  • Delivery and travel fees to your specific venue
  • Whether a staff meal is expected
  • Payment schedule and cancellation terms
  • Bond and prop replacement costs
  • Any discounts available for your date or payment timing
  • How long they’ve been operating and what their reviews actually say
