So you've decided you want a photo booth at your next party. Good move, they're one of the easiest ways to get people off their phones and actually interacting. But "get a photo booth" is where most people stop thinking, and that's where things go wrong. Not all booths are the same, and not every booth suits every event. Here's what actually matters when you're choosing one, and the questions worth asking before you hand over a deposit.
Why people hire photo booths in the first place
A good photo booth does more than take photos. It gives guests something to do, it breaks the ice between people who don't know each other yet, and it usually ends up being the spot everyone gravitates toward once the props and backdrop come out. Works for birthdays, engagements, school formals, and just as well for the office Christmas party. The catch is that "photo booth" now covers a lot of different setups, so it pays to know what you're actually booking.
Questions worth asking before you book
How many guests are coming?
This decides more than people realise. A booth with a slow print cycle is fine for 30 people and painful for 150. If your guest list is large, ask about print speed, or whether two booths (or a booth plus a roaming option) makes more sense than queuing everyone through one machine.
What style of booth actually fits your event?
There's more than one kind. Enclosed booths give that classic private feel. Open-air setups handle bigger groups better and are easier for anyone using a wheelchair or with mobility needs. Then you've got mirror booths and 360 booths if you want something with more of a wow factor. The "best" one depends on your venue and your crowd, not on what looks flashiest in a brochure.
What's actually included?
Ask directly: how many hours of coverage, unlimited or capped prints, a digital gallery, props, a custom backdrop, setup and pack-down time, and whether there's an attendant running it on the day. Packages that look similar on price can be very different once you line up what's included.
How much space and power does it need?
Most setups need a clear, flat area of around 2m x 2m, plus room for a props table and people queuing without blocking a walkway. Check power access too, especially at venues where outlets aren't exactly where you'd want them.
Is it accessible for everyone attending?
For kids' parties, check the camera height suits little ones or ask for a booster. If you've got guests using wheelchairs, an open-air booth with clear floor space and no steps is the safer bet than a boxed-in booth.
What's the actual photo quality like?
Ask what camera and lighting gear they're using, ask for sample images, and find out how fast you'll get your digital files. Same-day online galleries are pretty standard now, so if a vendor can't offer that, it's worth asking why.
What happens if something breaks?
Printers jam. Cameras glitch. It happens. A vendor worth booking will have backup gear on hand and someone on-site who actually knows how to fix it, not just someone standing next to the booth.
Are they insured and do they know your venue?
Public liability insurance matters more than people think, and a vendor who's already worked your venue will set up faster and know what to expect from the space.

- Measure your venue’s floor space and mark out roughly 2m x 2m for the booth, plus room for props and queuing
- Sort out accessibility needs ahead of time, not on the day
- Decide on customisation, backdrop, props, and any branded overlays you want
- Book early, especially for peak dates like summer weekends and the lead-up to Christmas, 3 to 6 months out is a safe window
